Export Support Evidence from the Learner List

Objective

This guide explains how to export support evidence from the learner list, review the export history, and download the CSV file for upload or reconciliation in the system of record. It is intended to help admins complete the process accurately and efficiently.

Key Steps

1. Navigate to the Learner List and Start the Export

  • Go to Users > Learner to open the learner list.

  • Select the Export button.

  • In the export options, choose Export for Evidence.

  • Click Continue to proceed to the date selection step.

2. Select the Export Month(s) and Run the Export 

  • Choose a single month if you need only one month of evidence.

  • If needed, select up to three months for a larger export range.

  • Click Export to initiate the file generation.

  • Confirm the selected date range before submitting

3. Wait for the Export Notification Email 

  • After the export is initiated, wait for the system to generate the file.

  • Monitor your email inbox for the export notification.

  • The email will indicate that the export is ready for download.

4. Open Export History from the Learner List

  • Return to the learner list if needed; the export process will take you back to the exports list.

  • Open Export History to view previously generated exports.

  • Use this area to locate the export you just created.

5. Review and Download the Evidence File 

  • In Export History, review the evidence export details.

  • Check the from date and to date to confirm the correct reporting period

  • Download the evidence file when the correct export is identified.

6. Export Evidence data

  • Open the downloaded file in CSV format.

  • The export includes the expected learner and support fields, such as:

    • First name, last name, email

    • Client reference and learner unique ID

    • Domains and indexes identified

    • Support provided and who provided it

    • Provider email and tutor manager

    • Support start and end dates

    • Support recorded date

    • Support type (regular or above and beyond)

    • Modules and reasonable adjustments

    • Support session details, duration, and coverage check status

    • Declaration, confirmation, and email address

    • Learner reflections and support information

Tips for Efficiency

  • Use the Export History area to quickly find previously generated evidence files.

  • Keep a consistent naming or filing convention for downloaded CSVs to make future reconciliation easier

  • Review the CSV immediately after download so any issues can be corrected sooner.
